Privacy policy.

HR work runs on trust and confidentiality. This is how we look after the personal information you share with us, in line with the Protection of Personal Information Act 4 of 2013 (POPIA).

Last updated September 2026

The Renuw Collective (“TRC”, “we”, “us”) only collects the personal information we genuinely need, uses it for the purpose you gave it to us, and never sells it.

1. Who we are

The Renuw Collective is a South African consultancy offering HR and labour-law consulting, business and personal coaching, and virtual administration. For the purposes of POPIA, TRC is the responsible party for personal information collected through this website and in the course of our services. Our Information Officer is Jacques Du Preez.

2. What we collect

  • When you contact us: your name, phone number, email address, the service you are interested in, and anything you choose to tell us in your message.
  • When we work with you: information needed to deliver the service, which for HR and labour matters may include employee records, contracts, disciplinary documentation and correspondence relating to a dispute.
  • When you use the website chat: the messages you type. When you leave the site, a summary and copy of the conversation is emailed to Jacques and Glenda so they can follow up. Chat messages are processed by an AI service provider to generate replies and summaries.
  • Administrative services: information you ask us to handle on your behalf, such as calendars, correspondence, travel details and documents.

We do not knowingly collect special personal information (such as health or biometric data) unless it is necessary for a matter you have instructed us on, and then only with the appropriate justification under POPIA.

3. Why we use it

  • To respond to your enquiry and arrange a consultation.
  • To deliver the services you engage us for, including preparing for and representing you at the CCMA, Bargaining Councils or PSIRA.
  • To keep proper records, invoice for our services and meet our legal obligations.

We rely on your consent, the need to perform our agreement with you, our legal obligations, and our legitimate interest in running the business responsibly. We will not send you marketing messages without your permission.

4. Who we share it with

We never sell or rent your information. We only share it where necessary to deliver our services or where the law requires it: for example, with the CCMA, a Bargaining Council or PSIRA when we are representing you, or with trusted service providers who help us operate, such as our website host, email provider and the form service that delivers website enquiries to our inbox. These providers only process your information on our instructions.

Some of these providers may store information outside South Africa. Where that happens, we take reasonable steps to ensure your information receives a level of protection comparable to POPIA.

5. How long we keep it

We keep personal information only for as long as we need it for the purpose it was collected, or for as long as the law requires (for example, for tax or labour-law record-keeping). After that it is securely deleted or de-identified.

6. How we protect it

We use reasonable technical and organisational measures to protect your information against loss, misuse and unauthorised access, including access-controlled accounts, secure transmission (HTTPS) and a strict confidentiality approach to every client matter.

7. Cookies and this website

This website does not use advertising or tracking cookies. To display our typefaces, pages load fonts from Google Fonts, which means your browser's IP address is visible to Google when a page loads. Our hosting provider may keep standard server logs for security and performance purposes.

8. Your rights

Under POPIA you have the right to:

  • ask whether we hold personal information about you, and request a copy of it;
  • ask us to correct or delete information that is inaccurate, out of date or no longer needed;
  • object to us processing your information, or withdraw consent you have given;
  • lodge a complaint with the Information Regulator of South Africa (inforegulator.org.za).

9. Contact us
